Factors to consider:

Food permit: Serving food at your event? We want to help you stay compliant with University guidelines. Most events require a University Food Permit, though exceptions exist for smaller internal gatherings or events catered by University Dining Services. Please review the policy to determine if you need to submit an application to the Department of Environmental Health and Safety.

Alcohol permit: If you are planning to serve alcohol, we are happy to assist. All events must align with the University’s Alcoholic Beverage Sales and Service, and Venue Liquor Licensing policy. Please ensure you secure approval from the Office of Risk Management before serving. We recommend starting this process early, as event reservations remain in a pending status until that approval is on file.

Safety of Minors: We are committed to providing a safe, welcoming environment for all participants. If your event involves minors (persons under age 18), please review the Safety of Minors policy to understand the criteria and best practices for their care.

Security/Access: To ensure a smooth experience for your guests, please coordinate your security and access needs with us. Non-University groups should submit requests at least 30 business days in advance. If you need after-hours support or specialized waste disposal, please submit an FM After Hours Facility Services Request at least two weeks before your event.

Film permit: Planning to show a film or conduct filming during your event? We have resources to help. Please review the Filming and Photography on Campus guidelines to ensure you’re all set.

Parking: Don’t forget about parking! While parking doesn’t affect your reservation approval, we want your guests to arrive stress-free. We recommend reviewing Parking & Transportation options early, especially if you’re expecting a large non-University audience.
